Often clients book an appointment several weeks (or even months) in advance. In these situations, it is not uncommon for a client to forget the date of their appointment and have to contact the company again, or even miss the appointment entirely, leaving a time slot unfilled that can no longer be covered.
To avoid situations like this, it is essential to remind the client of the date and time of their appointment a few hours, or at most a day, in advance.
Of course, doing this manually by calling all clients is a time-consuming and resource-intensive task.
With Softvision Agenda, it is possible to configure the system to automatically send a reminder message to the client a set number of hours before the appointment time. From the menu "Company | Preferences", you can choose both the message to send (customizable if needed) and the number of hours in advance. The message can be selected in the section "Automatic sending of email and SMS messages" by selecting the event "Appointment Reminder".
The reminder message can be sent as an SMS or an E-Mail. Obviously, the first method is much more reliable than the second, as SMS messages with a customizable sender sent via Softvision Agenda are far more likely to be read immediately by the client compared to an email, which could be read several hours or days later, reducing its usefulness.
