The appointments of a staff member in Softvision Agenda can be synchronized with any Google Calendar. This means that whenever an appointment is created in the application, it will be immediately replicated in the Google Calendar. Similarly, any appointment added in Google Calendar will automatically appear in the Agenda. Any modifications or deletions made in the Agenda appointments will also reflect in Google Calendar and vice versa.
Google Calendar appointments have a very simple structure. Each appointment consists only of a title, description, time, and little else. Therefore, when an appointment is synchronized between the two systems, not all properties of Softvision Agenda appointments are copied to Google Calendar. In particular, resource and staff member information is not copied because Google does not support these elements. The service name from the Agenda is instead added to the appointment description in Google Calendar. Similarly, when an appointment from Google is copied into Softvision Agenda, an appointment is created with the same title, description, and time, with the service and location assigned according to the staff member's configuration who activated the synchronization.
Softvision Agenda has a strict validation system that allows the creation of an appointment only if a series of criteria are met, such as the appointment time within company hours, resource and staff availability, etc. Google Calendar has no validation system, so when an appointment is created from Softvision Agenda, it will definitely appear in Google Calendar, but the reverse is not guaranteed. For example, if an appointment is added in Google Calendar outside company hours, it will not be copied into the staff member's calendar who activated synchronization.
To activate synchronization, open the window of a staff member in the "Staff Members" section.
Using the last tab of the window, you can enable synchronization. Google will open an authentication window to request access to your Google account (you may need to click "Advanced" and then "Open Softvision.it").
After closing the window, you can select which Google Calendar to synchronize, and the service and location to associate with appointments coming from Google Calendar.
After clicking the "Save" button, the appointments currently present in both calendars will be synchronized. This process may take several minutes depending on the number of appointments in the two calendars.
After this initial synchronization, any change made in one calendar will automatically reflect in the other.
It is important to note that only appointments containing the single staff member who activated synchronization will be synchronized. For example, an appointment with two staff members will not be synchronized even if one of them has activated synchronization.
In practice, only appointments related exclusively to the synchronized staff member are considered.
